Administrative Assistant Tribunal

Position Summary

The Catholic Diocese of Arlington is seeking an experienced Administrative Assistant to perform a variety of complex and confidential duties in support of the Office of the Tribunal.

The successful candidate will perform a variety of complex and confidential administrative duties in support of the Judicial Vicar and in conjunction with the other administrative staff. The candidate must be able to work independently under general supervision or as part of a team on special or ongoing projects. Fully-initiated practicing Catholics are encouraged to apply.

Principal Duties

• Assist the Judge in tracking and moving formal cases, from evidence gathering to sentencing and conclusion.
• Design and maintain listing of judges.

• Routinely employ Chancery-wide or office-specific systems and software (e.g., IMIS, Canonical).

• Establish, retrieve and maintain computer-based and paper files and records. Maintain, secure, and protect confidential information and reports.

• Track petitioner's witnesses; distribute and track expert witness questionnaires; prepare and distribute status letters.

• Generate change of grounds and court substitutions when necessary; print related documents and send letters.

• Prepare cases for assessors prior to client appointments and for publication and review; prepare and distribute cases to in-house and external defenders.

• Prepare letters and documents for court officers as needed.

• Receive, screen, and direct general incoming telephone calls and voicemail messages. Respond directly to inquiries related to the annulment process. Resolve issues and concerns raised by petitioners and respondents.

• Schedule and maintain case-related appointments for court officers.

• Receive, open, date stamp, review and direct incoming correspondence, including faxes and email.

• Scan all appropriate case documents on a daily basis; upload documents to Canonical; file in corresponding case files.

• Assist with coordinating the flow of work to transcriptionists as needed.

• Assist with coordinating the case from data-entry to evidence gathering as needed.


Knowledge/Skills: Intermediate level proficiency in Microsoft Office (Word, Excel, PowerPoint) and Microsoft Outlook; highly proficient in use of common office equipment, including copiers and scanners; strong verbal and written communication skills, organizational skills and attention to detail; ability to use basic accounting or related computer programs to process and keep records; ability to comprehend and apply specialized nomenclature, systems and procedures; ability to handle sensitive situations with discretion and confidentiality; high level of energy and enthusiasm; active listener; team player.

Education Required: High school graduate or equivalent.

Years and Types of Experience: 2 to 4 years office experience.
